CLIENT SERVICE ASSOCIATE

We are looking to add a Client Service Associate/Administrative Assistant to our team in our Atlanta, GA office. The Client Service Associate/Administrative Assistant is an essential part of the Waverly Advisors team. This team member will be the dedicated client service support and administrative assistant for 2 wealth advisors. The duties of this role will be split approximately 65% client service and 35% administrative assistant.

Client Service Associate Responsibilities:

  • Provides all client service support including account applications, custodial paperwork, investment advisory agreements and money movements
  • Assists in all meeting preparation including binding and preparing presentation materials
  • Coordinates with Private Fund team on any alternative investment subscriptions and redemptions
  • Reviews all quarterly reports, invoices and schedules client’s quarterly reviews with advisors
  • Works directly with a variety of custodians (Schwab, TD Ameritrade, Pershing Advisor Solutions, & Fidelity) to establish, maintain and update all new and existing client accounts
  • Tracks and updates all client correspondence and updates in firm CRM

Administrative Assistant Responsibilities:

  • Support the Partners with administrative tasks, including but not limited to: expense report preparation and submission, meeting scheduling and preparation, printing and binding and various other administrative tasks
  • Coordinate travel arrangements including air travel, hotel, and ground transportation
  • Responsible for calendar management, including coordinating schedules with internal and external parties for in-person meetings, conference calls, and Teams/Zoom calls
  • Answers and manages incoming calls when appropriate

Travel:

  • No travel is required. 

Experience:

  • At least 2 years of administrative or client service experience
  • Expertise in Outlook and proficient skills in the Microsoft Office suite

Competencies and Skills:

  • Proactive, team player who values building positive relationships with clients and colleagues
  • Strong verbal and written communication skills
  • Can do attitude where no task is too big or small
  • Ability to juggle demands of multiple people and deadlines
  • Detail-oriented self-starter

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 15 pounds at times
  • Must be able to access and navigate each department at the organization’s facilities
